The Accounts Receivable System may be used for accounts receivable transaction entry and reporting, or can be completely interfaced with Order Processing, Invoicing, Inventory and General Ledger. The key to this system is that complete control is achieved through flexible and easy to use transaction input screens. The capabilities of the system give you the information needed to monitor cash flow and collections.
System Features
- Customer balances are stored with up to 4 aging categories for immediate inquiry and accounts receivable control.
- Customer phone number or customer name can retrieve customer files.
- On-line inquiry provides instant access to A/R balance or open invoice information. A cross reference provides the ability to look up an invoice record, based on customer number or invoice number.
- Customers can be individually coded as balance forward or open item. Accounts that require detailed statements or are credit problems can be processed as open item while other accounts can be balance forward.
- The cash receipts program provides for application of cash by selected invoice, oldest invoice, unapplied payments, on account payments, or miscellaneous cash received.
- Statements can be printed selectively by account or by aging category. Dunning or general greeting messages can be stored and printed on the statement.
Key Reports
OPEN INVOICE REPORT – Lists all invoices by customer and any related payments or adjustments. The discount date, gross amount, and discount amount are included along with the invoice balance.
AGED TRIAL BALANCE – Prints the balance due for each customer by aging categories. Options include either complete detail by invoice or summarized by customer can be printed. Certain aging categories can be selected to print; such as all accounts with balances over 90 days old.
CUSTOMER SALES ANALYSIS – Summarized by customer, month- and year-to-date sales, returns, profit and profit percent. The information from this report will serve as a useful tool in determining where improvements need to be made.
STATEMENTS – Detail all open invoices owed by the customer, or if preferred, prints only a balance forward with the activity detailed from the current month.
